Word 2007 Spacing Tip

Joe, of Aeroflex asks, "I have a Word 2007 document and I want to see the spacing above the first line at the top of each page.  Some of the pages show the space and some do not."

Yes, Word 2007 is a bit different than previous versions of Word and the best way to add spacing above the first line at the top of each page is to use Styles.

The styles are located on the "Home" tab.  Preset styles, such as Headers, will add spacing above the line.  If you do not like any of the preset styles, simply click on the drop down arrow (the very bottom on the scroll bar - it says "More" when you hover the mouse over it) and select "Apply Styles."

In the window that appears, you may select a style to base your new style on and then select the "Modify" button.

This takes you to the old window for Style Formatting.  Change any formatting you would like by clicking on the "Format" button at the bottom of the window.

Click "OK" until you return to the document and the new style will be added to the Style Gallery.

There is the possibility of using paragraph formatting as well.  I'll cover this in next week's email.

Do you use the Highlighter in Word? Highlighting in Word can be helpful for pointing out certain words and phrases; but it doesn't print very well.

There is a somewhat simple way to hide the Highlighter for printing.

Click on the "Office" button and select the "Word Options" button.

Click on "Display" on the left menu.

Clear the "Show Highlighters" checkbox.

Click on the "OK" button to save the changes and return to your document.

The Highlighters are now hidden.  Print as needed.

Remember to repeat the steps above to unhide the Highlighters.  This time select the "Show Highlighters" checkbox.

Word 2007 Quick Tip

Word 2007 has a handy feature that can quickly decrease your document by one page, if needed.

Let's say you have a 5 page document, but you need it to be 4 pages to fit into a specific book or presentation.

Click on the "Office" button, hover to "Print" and select the "Print Preview" option.

In the "Print Preview" window, click on the "Shrink One Page" button in the "Preview" group of the ribbon.

The document automatically reduces the size and spacing of the text slightly to decrease the document by one page.

NOTE:  If your document requires specific size fonts, you may not want to use this option.

Create Your Own Shortcuts

If you're not an expert, it can take many clicks and a lot of menu navigations to perform basic tasks. With shortcut keys, you can speed up your working pace without lifting your hands from the keyboard.

In Word, you can create your own keyboard shortcuts! For example, if you are using the "Word Count" feature often, you can assign any key combination like Alt+W to run the Word Count command.

Follow these simple steps to create your own shortcuts keys for your favorite command:

Go to the Tools menu and click on Customize. (Hint: In Word 2007, the Customize Option is located on the "Office" button)

In the dialog box that opens, click on the "Keyboard..." button.

A list of all the categories of commands will appear on the left side of a new dialog box.

Click on the Category that contains the command which you want to assign a shortcut key.

From the right side, choose the Command you want to assign a keyboard shortcut and then Type or

Click the key combination you want to use to create the shortcut.

Now click on the Assign button and then click Close.

Now, when you are ready to perform the command, simply use your Shortcut Keys that you just setup.
